Set up Outlook sync with Proxuma

Outlook Calendar API integration connects external applications to Microsoft Outlook Calendar, allowing seamless data exchange, event management, and synchronization. Users can access, create, and update calendar events within the integrated app, improving productivity and organization. 📨Quick overview of Proxuma's Outlook sync

All your appointments on Outlook can now be synced with Proxuma, which you can see on your Planning Screen. Since there are a lot of limitations through the Autotask API, we have added our own Outlook integration so that Proxuma can read and write directly to Outlook. Once you've completed Outlook's integration, you will be given these three sync options:


a. Outlook to Proxuma: This default option will grab all appointments created with Outlook syncing towards Proxuma.

b. Proxuma to Outlook: Choose this option to create the appointments using Proxuma, which will be synced back to Outlook.

c. Bidirectional: This option will read (Outlook to Proxuma) and write (Proxuma to Outlook) appointments.


There are three parts that you need to go through to sync Outlook with Proxuma successfully:


Part 1: Creating a Microsoft 365 Dev Center account

Part 2: Registering an application in Microsoft 365

Part 3: Outlook Sync Settings in Proxuma


*Please take note that you should Turn Off your Autotask and Outlook Sync when you Turn on your Proxuma and Outlook Sync.

📄Registering an application in Microsoft 365

1. Visit Microsoft Azure and log in with your Outlook credentials.🔑

2. Click on the search bar and type App Registration.🔍

3. Click Register an application.📝

4. Type the name of the integration.⌨️

5. For supported account types, choose "Accounts in this organizational directory only (Dxfferent B.V. only - Single tenant)."🏢

6. Click Register.✅

7. Under Certificates & secrets, click + New client secret.🔐

8. Add the Description and set the expiration to 24 months.⏳

9. Click Add.➕

10. Copy the Value. The Value key will be pasted on Proxuma's Client Secret field.📋 

⚠️Important: Ensure that you create a copy of the Value because once you exit this current page, you won't be able to view the details anymore.

11. Go to API permissions.📜

12. Click Add a permission.➕

13. Click Microsoft Graph.🌐

14. Click Delegated permissions.🗂️

15. Select offline_access.🔄

16. Tick Calendars_ReadWrite.✔️

17. Click Add permissions.✅

18. Click Add a permission.✅

19. Click Microsoft Graph.🌐

20. Click Application Permission.🛠️

21. Go to Calendars and choose Calendars.ReadBasic.All and Calendars.ReadWrite.📅 

22. Choose User.Read.All and click Add permissions.✅

23. Click Grant admin consent for (company name) and hit Yes.✔️

24. You will now see that the permissions are all granted.✅

25. Go to Overview.📋

26. Copy the Client ID (A) and Tenant ID (B).📑

🛠️Creating a Microsoft 365 Dev Center account

1. Open browser and visit this link Developer Program | Microsoft 365 Dev Center and click Join Now. (Continue to "Registering an application in Microsoft 365" if you already have a Microsoft account.)🌐

2. Complete all required details and once you're done, click Next.📋

3. Select Custom solution for my own customers and click on Next.👉

4. Choose Microsoft Graph and Outlook then hit Save.💾
