Create a service call for a task

A service call is automatically created once a Plan bucket item is dragged towards the planning screen. Service calls consist of a schedule and the resource(s) assigned to the service call. Multiple service calls can be created for a task, provided that the resource assigned still has available hours left for that day. If not, this will result in an overbooked capacity, shown in the Capacity Graph. Remember that your organization's total capacity will adjust depending on the time allocated for each service call.

✅Create service calls from tasks

To create a service call for a task, follow these steps:


1. Once a task is created, it will be added to your Plan bucket.📥 

2. From the Plan bucket, drag a task item towards the Planning Screen.📝


💡Pro tip: Know your Plan Bucket items! Red is for tasks, purple is for tickets, and green is for service calls. 

3. From this point forward, you can still edit some of the details from this pop-up window:🛠️


  • Start and end Date
  • Description
  • Service call status
  • Primary resource
  • Work type
  • Status

4. You can also expand this section to check the details of the service call.📋

5. If you don't have any changes needed, click Add to planner.✅


📝Note: Proxuma does the API call with Autotask, and the syncing begins. The process will take a few seconds for your plan items to be editable. Once the sync is done, it will turn red for tasks and purple for tickets, which means they can already be  edited. So while waiting for it to sync, you can continue working on other items in Proxuma. 

6. You can also hover your mouse over the item to quickly view the details of the service call.

📅Reschedule a Service Call

You can reschedule a service call by adjusting the Service Call item directly. You can change the date and time of each service call in the Planning Screen by increasing or decreasing the length of the Service Call item. If you want to change the schedule, drag the item to the date you want to schedule the Service Call.

1. To adjust the service call time, hover over the service call item and drag it towards the new time you want to set.🔄

2. You can also change the item to your preferred scheduled date by dragging the item to your desired time and date.📅

3. Another feature you can use is reassigning a Service Call to a new resource. This process can quickly be done by dragging the plan item to the new resource of your choice.👤

📋Copy and Delete a Service Call

You can copy the details of a Service Call you want to duplicate to easily create the same item without creating the Service Call again. This feature will save you time, and you can quickly create another Service Call using the exact details again. You also have the option to delete a Service Call item which will remove the item from the Planning Screen. 


Here's how to do it:


1. Click a Service Call item.🖱️
2. Click the Three Dots icon.

3. Click Copy.📋

4. Update all the necessary information and once done, click Update.📝

5. The copied service call item will be immediately displayed on the planning screen.🔄

6. To delete a service call item, pull up a service call item and click the Three Dots icon.

7. Select Remove servicecall.🗑️

8. Click Yes to confirm your action.✔️

🛠️Opening service calls directly in Autotask

You can conveniently open service calls directly in Autotask with just a few clicks. Every service call visible in Proxuma is directly linked to Autotask.


Here's how to do it:


📝Note: Before proceeding to the steps below, log in to your Autotask account first.


1. Once a service call is created, click on the service call item that you want to access in Autotask.🛠️

2. Click the title of the service call.🖱️

3. Once clicked, you will be redirected to Autotask with the service call's details.🔄

4. To view the company's details, click this link.🔗

5. You will be redirected to Autotask with the task's information.📋

6. To view the project's details in Autotask, click the expand icon.⬇️

7. Click the Project link.🔗

 8. You will now be redirected to Autotask with the company's project details.🏢
