Create a service call for a ticket

A service call is automatically created once a Plan Bucket item is dragged towards the planning screen. Service calls consist of a schedule and the resource(s) assigned to the service call. On the other hand, you can create multiple tickets with corresponding priorities to attend to the issues arising during the project. Unlike tasks, tickets can be made without setting a schedule.

๐Ÿ“Create service calls for tickets

Here's how to create a service call for a ticket:


1. Once a ticket is created, it will be added to your Plan bucket.๐ŸŽซย 

2. Inside the Plan Bucket, drag a task item towards the Planning Screen.๐Ÿ“‹


๐Ÿ’กPro tip: Know your To plan items! Red is for tasks, purple is for tickets, and green is for Service Calls.ย 

3. From this point forward, you can still edit some of the required details of the ticket from this pop-up window:๐Ÿ–Š๏ธ

  • Priority
  • Primary Resource assigned to this ticket
  • Secondary Resource
  • Status
  • Issue Type
  • Sub Issue Type

4. You can also expand this section to check the details of the service call.๐Ÿ”

5. If you don't have any changes needed, click Add to planner.โœ”๏ธ


๐Ÿ“Note: Proxuma does the API call with Autotask, and the syncing begins instantly. Once the sync is done, the items in your planning screen will turn red for tasks and purple for tickets, which means they can already be edited.ย 

๐Ÿ“…Reschedule a Service Call

You can reschedule a service call by adjusting the Service Call item directly. You can change the date and time of each service call in the Planning Screen by increasing or decreasing the length of the Service Call item. If you want to change the schedule, drag the item to the date you want to schedule the Service Call.


To adjust the service call time, follow these steps:

1. Hover over the service call item and drag it toward the new time you want to set.๐Ÿ•’

2. You can also change the item to your preferred scheduled date by dragging the item to your desired time and date.๐Ÿ“…

3. Another feature you can use is reassigning a Service Call to a new resource. This process can quickly be done by dragging the plan item to the new resource of your choice.๐Ÿ’ผ

4. Update the resource(s) to whom you want to assign the ticket.๐Ÿ”ง

5. Click Update.โœ”๏ธ

๐Ÿ“‹Copy and Delete a Service Call

You can copy the details of a Service Call you want to duplicate to easily create the same item without creating the Service Call again. This feature will save you time, and you can quickly create another Service Call using the exact details again. You also have the option to delete a Service Call item which will remove the item from the Planning Screen.ย 


To copy and delete a service call, follow these steps:


1. Click a service call item.๐Ÿ”
2. Click the three-dot icon.โ‹ฎ

3. Select Copy.๐Ÿ“‹

4. Add the details that you need to include and click Update.๐Ÿ”

5. The copied service call item will show on the planning screen immediately.๐Ÿ”„

6. To delete a service call item, click the three-dot icon.โ‹ฎ

7. Select Remove servicecall.โŒ

8. Click Yes to confirm your action.โœ”๏ธ

๐Ÿ› ๏ธOpening service calls directly in Autotask

You can conveniently open service calls directly in Autotask with just a few clicks. Every service call visible in Proxuma is directly linked to Autotask.


Here's how to do it:

๐Ÿ“Note: Before proceeding to the steps below, log in to your Autotask account first.


1. Once a service call is created, click on the service call item that you want to access in Autotask.๐Ÿ› ๏ธ

2. To open the service call in Autotask, click this link.๐Ÿ”—

3. Once clicked, you will be redirected to Autotask with the service call's details.๐Ÿ”„

4. To view the company's information, click this link.๐Ÿ”—

5. You will now see all the details related to the company in Autotask.๐Ÿข

6. If you need to view the project's details, click the expand icon first.โฌ†๏ธ

7. Click the Project link.๐Ÿ”—

8. A new tab will be opened displaying the project's information in Autotask.๐Ÿ“Š
