Generate Autotask's API credentials (Client ID and Secret)

You must generate and copy the Client ID and Secret from your Autotask account. Remember that before you can generate these keys, you must create a new security level in Autotask using an existing API User License Type. These keys will be needed when you initialize the syncing of your Autotask data with Proxuma. 


📝Note: You only need to input your Client ID and Secret key once in Proxuma unless instructed by your system administrator.

  • Security Levels (SL)
    Security Levels are necessary to configure a set of security levels for each Managed Service Provider (MSP). Each internal resource and co-managing user is assigned a security level in Autotask that controls their access to features and data in an Autotask instance.

  • Application Programming Interface (API)
    APIs are responsible for how applications communicate by controlling the requests and responses each application initiates.

  • API user
    An API user is the individual who was granted access to interact with the API.

🔒Creating a new security level in Autotask

To create a new security level in Autotask, follow these steps:

1. Login to your Autotask account.🌐

2. Hover your mouse over the Main Menu.🖱️

3. Then, hover over the Admin option again and select Company Settings & Users.⚙️

4. Expand Resources/Users (HR) and click Security Levels.🔓

5. Find API User (system) (API-only). Click the options icon and choose Copy from the list.📋

6. Next, add a name for the API integration. 🔄


💡Pro tip: Create an integration name that you can easily remember like for example, Proxuma API Connection.🔗

7. Scroll down this window and expand the Other section.👇

8. Ensure that the Can create Webhooks option is checked and the Maximum value for Webhooks is 50.✔️

9. Open up Web Services API.🌐

10. The Can login to Web Services API option should be checked and ensure to click Full Permission.✔️

11. Click Save and close.💾

🛡️Creating and assign an API user to a Security Level

Once you've successfully created a new Security Level for the API connection, it's time to create a new API user who will be holding the API Client ID and Password.


Here's how to do it:

1. From Autotask's home page, go to Admin > Company Settings & Users.👥

2. Expand Resources/Users (HR).👤

    3. Click Resources/Users.👤

    4. Click the more options icon and choose New API User.👤


    Already have an API User? Jump to step number 10.🔟

    5. Add the details of the new API user and select the Security Level that you've created earlier.🛠️

    6. It's time to generate the API Credentials! On the Credentials section, hit the Generate Key button to generate the Autotask Client ID. To view the Autotask Client Secret, click Generate Secret.🔑


    ⚠️Important: Take note of these keys because you will be using them to sync Autotask with Proxuma.

    7. Next, under the API Tracking Identifier, choose the Integration Vendor option and select Proxuma - Resource Planning & Project Management.📊

    8. Under the Line of Business section, choose the line of business that you want to associate.🏢

    9. Click Save & Close.💾

    10. You can assign a user to the Security Level you've created by clicking the more option icon and choosing Edit from the Resources section.👤 

    11. Choose the Security Level you've created from the list.📃

    12. Generate the Autotask Client ID and Autotask Client Secret.🔑

    13. Click Save & Close.💾
